Summary
The part-time Group Sales Associate assists with group sales from initial contact to final payment. Responsible for taking calls, pulling reports, maintaining records and researching potential groups. The ideal candidate will have excellent customer service skills, the ability to collaborate on team marketing efforts, and the initiative to share and develop new marketing initiatives. Sixteen hours per week with additional hours as needed.
Specific Responsibilities
- Perform entire spectrum of ticket sales to groups - from initial contact with groups to final payment
- Accept and respond to incoming requests by phone, email and fax
- Coordinate customer accounts
- Process group ticket requests, contracts and payments
- Conduct payment calls for deposit and final payments
- Coordinate group interest list for upcoming seasons
- Initiate sales calls to new and prospective groups
- Serve as primary lead for coverage of incoming Group Sales and general information phone calls, emails and faxes
- Maintain communication between Group Sales and other appropriate departments in the theatre to ensure successful performances and events
- Run and submit daily financial reports for the Finance Office
- Support Box Office and House Management in establishing and maintaining effective and efficient policy/procedures and ensures group leaders are informed of ticket collection process and arrival time
- Assist in distribution of study guides and other education materials prior to performance and workshop attendance
- Participate in planning and execution of special projects, partnerships, special events, and activities organization wide
- Participate in outreach to all target markets for each production
- Assist in target market identification
- Distribute materials to area sites, groups, and targets
- General administrative responsibilities
- Accept packages
- Coordinate with Office Administrator regarding effective and efficient ordering and distribution of office supplies
- Coordinate with the Office Administrator regarding copier machine and fax machine maintenance
- Other duties as assigned.
Education and Experience Required
- Bachelor’s Degree or comparable experience.
- Previous group sales or box office experience a plus.
- Strong ability to prioritize and handle various projects simultaneously.
- Ability to work effectively in a team setting.
- Excellent organizational, written and verbal communication skills with attention to detail.
- Good customer service skills via telephone, e-mail correspondence and in person.
- Proficient use of TM Archtics or other ticketing systems.
- Experience using internet, word-processing and spreadsheet software.
